By signing this Agreement, the Licensee acknowledges and agrees to the following conditions. These policies are in place to honor the sacred and community nature of Cityside's space, to respect the policies of the building itself and to ensure a welcoming environment for all who gather here. Any and all policies may be amended at any time, without prior notice, by Cityside and/or the Cityside Representative.
For purposes of this Agreement, "Cityside Representative" means the on-site Cityside staff person designated to supervise the Licensee's event.
Alcohol Policy
· The sale, service, or consumption of alcoholic beverages requires advance approval by Cityside in its sole discretion, including receipt of a Certificate of Liability Insurance naming Cityside as “Additional Insured.” Approval, if granted, must be documented in this License Agreement, disclosing the details of the proposed alcohol service. All alcoholic beverages must always remain within the licensed premises. Cityside’s Representative may, in their sole discretion, require modifications to or the immediate cessation of alcohol service at any time for any reason. Failure to comply constitutes a material breach of this Agreement.
· Licensee is solely responsible for complying with all applicable federal, state, and local laws, including obtaining any required permits or licenses, and for ensuring that alcohol is not served to minors or intoxicated persons.
Noise & Sound Restrictions
· Events must be conducted at a sound level appropriate to a shared, mixed-use spiritual community space.
· Amplified sound (music, microphones, speakers) must be kept at a reasonable volume and should not be audible beyond the rented space.
· All amplified sound and music must cease no later than the agreed-upon event end time.
· Licensees are responsible for managing the sound levels of all attendees throughout the event.
· Cityside and its Representative reserves the right to monitor the noise levels and require a lowering of noise levels to an acceptable level as determined solely by the Cityside Representative.
Required Cityside Staff Presence
· A designated Cityside Representative will be present for the duration of all rental events. This is a non-negotiable requirement and is reflected in the administrative support fee.
· The Cityside Representative serves as the point of contact for facility needs and ensures that all policies are observed.
· Licensees may not lock, secure, or restrict access to any portion of the facility. All building access decisions remain with the Cityside Representative on duty.
· Any and all decisions rendered by the Cityside Representative are final. Licensees not following the Representative’s directions are subject to immediate event termination, locking of the facility and forfeiture of the deposit.
Space Care & Cleanup
· Licensees are expected to return all areas of the space to the same condition in which they were found, including furniture arrangement, equipment placement, and general tidiness.
· All trash and recycling must be collected and deposited in the designated alley receptacles prior to departure. Bags must be tied and placed in the appropriate bins.
· Any furniture, chairs, or equipment that was moved during the event must be returned to its original configuration before the Licensee departs.
· Cityside reserves the right to retain the deposit and charge an additional cleaning fee if the space is left in an unsatisfactory condition, as determined by Cityside at its sole discretion.
· Any damage to the space (e.g., walls, floors, equipment, chairs, kitchen) will be assessed to the licensee and reimbursement to Cityside is due within 72 hours
General Conditions:
1. No tech support will be supplied by Cityside.
2. Attendance may not exceed the posted occupancy limit for the rented space.
3. Access to the facility begins at the agreed reservation start time unless otherwise arranged in writing with Cityside staff.
4. No signage shall be placed anywhere on the premises or in the building.
5. Food service, catering, or kitchen use must be approved in advance and in writing by Cityside staff.
6. The renter accepts responsibility for any damage to Cityside property caused by the Licensee, guests, vendors, or attendees during the event.
7. Cityside, at its sole discretion, may require a certificate of event liability insurance, naming Cityside as additional insured.
8. The Licensee agrees to indemnify, defend, and hold harmless Cityside and its officers, directors, employees, and volunteers from any claims, injuries, or damages arising from the Licensee's event, except in cases of Cityside's gross negligence or intentional misconduct.
9. Additional fees may apply if the event exceeds the reserved time. Events must begin and conclude within the times specified on this Agreement. The Licensee is responsible for all setup and breakdown time within the reserved window.
10. Cityside reserves discretion to decline events inconsistent with its mission, values, or nonprofit purpose.
11. Licensees may not transfer this license use to any third party
12. Cityside is not responsible for any personal property left on the premises before, during, or after any event.
13. In the event of a cancellation by the Licensee with less than 72 hours' notice, the administrative support fee is non-refundable. Cancellations made with more than 72 hours' notice may be eligible for a full refund at Cityside's discretion.
14. Licensee acknowledges that this is a revocable license for a limited use, and nothing in this Agreement shall constitute a leasehold interest or tenancy or conveyance of any exclusive possessory interest in the property
15. The use of chips or other forms of artificial money is prohibited.
16. Minors under the age of 21 must have two (2) adult chaperones for every 20
persons in attendance, 1 chaperone minimum. Children must be kept in the main sanctuary space, and no guest is allowed to roam around the building.
17. The Licensee host will be present for the entire duration of the event, including cleanup.
18. No candles or open flame of any kind are permitted.
19. Do not affix, staple, glue, or nail anything to the walls or ceiling. Request assistance from the Cityside Representative if you have any questions.
